Our client is seeking a highly organised, proactive, and detail-oriented Office Executive to provide administrative support, manage corporate affairs and regulatory compliance activities.
ROLE PROFILE
The successful candidate will be responsible for managing day-to-day office and administrative operations, coordinating executive engagements and serving as the key liaison between management and external stakeholders.
DUTIES/RESPONSIBILITIES
- Manage day-to-day office and home administration and operational activities.
- Coordinate and follow up with government ministries, departments, agencies, and regulatory authorities for approvals, permits, licenses, and statutory compliance.
- Liaise with key stakeholders including the Energy Commission, Environmental Protection Agency, Ghana Investment Promotion Centre, utility companies, local authorities, consultants, and contractors.
- Arrange and coordinate meetings, appointments and stakeholder engagements.
- Prepare official letters, reports, presentations, meeting minutes, and correspondence.
- Maintain and organize company records, contracts, permits, licenses, and project documentation.
- Manage executive calendars, travel arrangements, accommodation, and logistics.
- Support work permit, residence permit, immigration, and corporate compliance processes where required.
- Coordinate communication between management and external stakeholders.
- Monitor action items from meetings and ensure timely closure.
- Assist in procurement coordination, vendor communications, and office services management.
- Ensure confidentiality and proper handling of sensitive company information.
- Can do market research and any other work given by management
EDUCATION/EXPERIENCE
- Must have a minimum Bachelor’s degree in Business Administration, Public Administration, Management, Secretarial Studies, or a related field
- Must have a minimum of 2–5 years’ experience in administration, government liaison, executive assistance, or corporate affairs
- Experience working with energy, infrastructure, industrial, or project-based organisations is preferred
- Demonstrated experience coordinating with Ghanaian government institutions and regulatory bodies is an advantage
REQUIREMENTS
- Strong verbal and written communication skills with the ability to draft professional correspondence and official documents
- Excellent stakeholder management, relationship-building, and interpersonal skills
- Strong organisational and documentation skills with a high level of attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Good understanding of Ghanaian government procedures, regulatory frameworks, and compliance processes
- Ability to manage multiple priorities simultaneously and work effectively under pressure
- High level of professionalism, integrity, and discretion in handling sensitive and confidential information
- Self-motivated, proactive, and able to work with minimal supervision
- Strong problem-solving skills and the ability to anticipate management needs and take initiative
