EXECUTIVE SECRETARY

Our client, a leading real estate company, is seeking a highly organised and professional Executive Secretary to provide comprehensive administrative and organizational support to senior management.

 ROLE PROFILE

The ideal candidate will be responsible for ensuring seamless office operations, maintain a professional standard of communication and documentation at all times and will serve as the backbone of the executive office, managing schedules, correspondence, and cross-departmental coordination with precision and discretion.

DUTIES/RESPONSIBILITIES:

Executive Support & Calendar Management

  • Manage the General Manager’s calendar, schedule meetings, and coordinate appointments
  • Arrange travel logistics, accommodation, and itineraries for management and visiting delegations
  • Prepare meeting rooms and ensure all necessary materials and equipment are in place
  • Follow up on decisions made in meetings and brief the General Manager on progress

Communication & Correspondence

  • Receive and screen phone calls, emails, and visitors, directing them appropriately
  • Draft, proofread, and dispatch official correspondence, reports, and meeting minutes
  • Coordinate between departments to ensure timely flow of information and reports

Documentation & Records Management

  • Maintain organised physical and electronic filing systems for documents and contracts
  • Handle sensitive and confidential information with the utmost professionalism and discretion
  • Support the management team with ad hoc projects and urgent administrative tasks
  • Perform any other administrative duties as may be assigned by management

EDUCATION/EXPERIENCE:

  • Must have a Diploma or Bachelor’s degree in Executive Secretarial Studies, Business Administration, or equivalent
  • Must have a minimum of 2 years’ administrative experience; experience in a real estate environment is preferred
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

 REQUIREMENTS

  • Excellent written and spoken English; knowledge of additional local languages is a plus
  • Professional appearance and polished interpersonal and communication skills
  • Ability to multitask efficiently under pressure and meet strict deadlines
