Our client, a leading pharmaceutical and healthcare company, is seeking a highly organised and proactive Executive Assistant providing comprehensive support to the Chief Executive Officer.
ROLE PROFILE
The ideal candidate will be responsible for executive support in a one-on-one working relationship. He or she will provide high-level administrative support through conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
DUTIES/RESPONSIBILITIES:
- Manage the CEO’s calendar, appointments, travel arrangements, and expense reports
- Prepare confidential correspondence, reports, and presentations
- Act as a gatekeeper, managing access to the CEO and prioritizing engagements
- Ensure the CEO is well-informed of upcoming commitments and key issues
- Coordinate and follow up on tasks, projects, and deadlines on behalf of the CEO
- Facilitate effective communication between the CEO and internal/external stakeholders
- Handle sensitive information with discretion and professionalism
- Serve as the primary liaison between the CEO and the Board of Directors
- Coordinate board meetings, including scheduling, documentation, and logistics
- Ensure timely distribution of board materials in compliance with governance requirements
- Support board members with travel and meeting arrangements
- Maintain strict confidentiality in all board-related matters
- Support the Executive Team in scheduling and coordinating meetings
- Assist in preparing agendas and materials for senior management and off-site meetings
- Attend meetings where required and track action points
- Maintain and update the CEO’s profile and organizational materials
- Review and analyse reports (Finance, Sales, HR, Operations, etc.) and highlight key insights
- Track performance against business plans and flag risks or challenges
- Conduct research and prepare reports to support decision-making
- Coordinate and consolidate departmental reports for executive review
- Develop presentations and documentation for internal and external use
EDUCATION/EXPERIENCE:
- Must have a minimum of a Bachelor’s Degree from an accredited institution
- Must have a minimum of 5 years’ experience supporting C-Level Executives
- Experience and interest in internal and external communications
- Basic accounting knowledge is an advantage
- Further qualification in project management is desirable

- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms
- Emotional maturity and excellent project management skills are a plus
