ASSISTANT MANAGER (SALES OPERATIONS DEPARTMENT)

Our client, a pharmaceutical manufacturing company is looking for a proactive and result-driven individual to fill the position of Assistant Manager to assist with the company’s operations.

ROLE PROFILE

The selected candidate will be supporting sales activities by collating, maintaining, and analyzing a comprehensive set of information tools, reports, and records as well as developing and maintaining the databases, schedules, and reports to underpin decisions on sales activity and resource allocation. The chosen candidate will be committed to selling and distributing only safe and quality products by following all instructions related to the food safety and quality management system. These tasks will be performed by the selected candidate in addition to the following;

DUTIES/RESPONSIBILITIES

  • Ensure accurate posting and reconciliation of invoices
  • Develop reports to ensure data capturing is done efficiently and effectively
  • Oversee procurement and stock levels of raw materials, ensuring no shortages or excess inventory
  • Assist in audits and inspections, ensuring documentation and procedures meet compliance standards
  • Maintain accurate records of production, quality checks, inventory, and sales data
  • Develop and implement demand forecasting and supply planning modules
  • Supervise order processing and schedule delivery van for product delivery
  • Take Reports and stock reconciliation in depots, vans and trade stock
  • Oversee sales fleet and manage cash sales account
  • Handle goods return processing and confirmation of issuance of credit notes to customers
  • Perform reconciliation of van sales physical, bin card, and system stock balances
  • Carry out sales order delivery management
  • Track back order and delivery tracker (stock requisition model)
  • Effective management of sales team tools of the trade with mitigation plans
  • Ensure vehicles are properly used and well maintained
  • Manage territory petty cash, ledger cards/books, bin cards, receipts, invoices, mobile phones etc.
  • Ensure strict adherence to sales standard operating order (SOP)/trade term compliance
  • Manage and reconcile sales standard operating order (SOP) compliance with sales practices
  • Manage retail measurement systems (Sales Force Automation database) to track the effectiveness of the route-to-consumer strategies
  • Manage and apply personnel processes
  • Manage and develop employees to ensure good team dynamics
  • Implement performance appraisal management in duties
  • Facilitate change management where required by projects being implemented

EDUCATION/EXPERIENCE

  • A minimum of 2 years of experience in pharmaceutical manufacturing, Fast Moving Consumer Goods (FMCG), huge import-based organizations, distribution and warehousing firms, or a multinational experience
  • A minimum of a Bachelor’s degree in statistics, mathematics, computer science, finance, economics, business administration or any related field
  • Advanced Microsoft Applications (Word, Excel, PowerPoint, etc.) and Microsoft Navision
  • Experience within a sales or customer account management role including a field sales role
  • Experience in presentations to directors and senior management

  • Must have high-level communication skills with the ability to adapt to different situations and clients
  • Must possess excellent skills in numeracy, financial planning, and budgetary management
  • Must be excellent in stakeholder management (sales representatives, managers, and business leaders)
  • Ability to interact with clients and manage client database
  • Proficient in tracking Key Performance Indicators (KPI), target management and reports
  • Ability to open, negotiate and close a sale
  • Must possess good interpersonal skills to build and maintain stable relationships with clients
  • Must be innovative and creative in exploiting opportunities
  • Ability to analyse problems and suggest effective solutions to solve potential problems
  • Must possess leadership skills and able to assign tasks to appropriate team members to ensure work is efficient
  • Ability to constructively resolve competing priorities with colleagues
  • Ability to work under pressure, prioritise and multi-task to meet deadlines
  • Ability to work well within a team and across departments
